POLICY:

Each of the Enterprise Systems has different storage and access requirements. A quota system is needed to effectively manage the storage resources of these systems. This quota system will help to ensure that sufficient storage capacity is provided to all campus users and to encourage the appropriate use of each system.

The University recognizes the need to make temporary adjustments to an individual's defined quota limit. For students, the Department Chair may authorize the adjustment based upon a particular course or project offered by the department. For all other accounts, the Chief Information Officer (or designee) may authorize the adjustment.

PURPOSE:

Each of the Enterprise Systems has different storage and access requirements. A quota system is needed to effectively manage the storage resources of these systems. This quota system will help to ensure that sufficient storage capacity

PROCEDURES:

1. The Udrive, Vdrive, and Email systems shall be monitored to determine when users are approaching, and when they exceed their quota limits. Additionally, there shall be automatic overdraft privilege to provide individuals with temporary storage space. The overdraft limit shall be a percentage of the user's quota limit and the overdraft limit shall be posted as part of the Campus IT Standards.

2. Requests for increases in quota are processed by the University Helpdesk. Requests to adjust quotas for students are authorized by the department chair of the course being offered. Requests to adjust quotas for all other account types are authorized by the Chief Information Officer. These limits shall be reviewed on a yearly basis.

RESPONSIBILITIES:

IT is responsible for the management of the Enterprise Udrive, Vdrive, Email and Vmail (voice mail) quotas. Individual users are responsible for the management of their storage consumption to ensure they remain below the published quotas limits.
