New! HR Answers A-Z

The Office of Human Resources provides a wide range of services and administers a number of programs on campus.  We are developing a section of our website that provides short answers on the topics we address frequently.  From Additional Employment to Work and Hours, and from all HR units including professional development, workers’ compensation, and payroll, HR Answers A – Z provides information intended to help staff, faculty and managers.

Staff Service Awards and Recognition Event

Every year, we acknowledge the dedicated service of faculty and staff celebrating their 5, 10, 15, 20, 25, 30, 35 and 40th anniversaries. This year’s celebration, “Cultivating Excellence – Valuing Diversity,” will be held on Thursday, June 26th from 8:30 – 11:00 in the Northridge Center Complex in the University Student Union. Watch for the list of honorees in an upcoming issue of @CSUN.  All honorees and their supervisors are invited to attend.

During this celebration of service, we also recognize significant contributions by individuals and teams.  The President’s Award is reserved for a single CSUN staff member who “demonstrates consistently outstanding performance and who serves as a role model for other people by living the values of the university.” The Award of Merit is presented to staff members who demonstrate exceptional performance and integrity in service to the university community. A maximum of ten awards are given.  The Team Award honors a team of staff members who collaborate on a project, process or other significant initiative that brings about radical, positive change that improves performance and/or image, or increases productivity and/or reduces costs.

These awards arise from nominations from university colleagues. Please take the time to nominate someone who has made a significant contribution to the university.

Information, including the criteria an nominating process, is online:

BENEFITS

New to CSUN?

Have you recently joined the CSUN family as faculty or staff? If you started work on a day other than Monday, you may have missed the Monday Morning Benefits/Payroll Orientation.  In this session, Human Resources representatives review information about your benefits and payroll.  Included is an opportunity for you to complete your enrollment forms for health care, which must be submitted within 60 days of your start date.  If you’ve missed this session, check with your supervisor about attending a session during your first month.

Once approved, contact your Benefits Representative directly for more information and/or to reserve your spot.  For last names starting with A-K, email Monica Escontrias at monica.escontrias@csun.edu; for last names starting with L-Z, email Cathy Salazar at cathy.salazar@csun.edu.

Tax-Sheltered Annuity 403(b) Catch-Up

Are your projected contributions to the 403(b) over the current annual maximum ($15,500)?  You may exceed this limit if you qualify and submit the paperwork to Benefits Administration in Human Resources (University Hall 165, Mail Drop 8229).

Eligibility can be determined by completing the Maximum Contribution Allowance Worksheet at http://www.calstate.edu/Benefits/carrier.materials/2008_AutoCatchUp%20Form.xls.  After completing this form online, you will receive an immediate calculation of the funds you will be able to contribute for 2008 to either the “15-year Catch Up Program” and/or the “Age 50 or Older Catch Up.”

For more information on the (403)b program, visit our website:

CLASSIFICATION AND COMPENSATION

New In-Range Progression (IRP) Form

A new In-Range Progression (IRP) Request Form is now available online:

http://www-admn.csun.edu/ohrs/IRP_Request_Form_2008.dot.

The process hasn’t changed; however, this form provides a standard for submitting information and evaluating requests.  Once a request is completed (now via the online form), it is still submitted through an employee’s non-bargaining unit manager.  The manager will review and forward the form to Human Resources within 30 days.

For complete information on the IRP process, please refer to:

http://www-admn.csun.edu/ohrs/compemp/index.htm

Classification Review

As a reminder, requests for classification review are submitted via the Position Description Form: http://www-admn.csun.edu/ohrs/compemp/forms/positdesc.dot.  This process is intended to address significant, ongoing changes in the responsibilities for the position.  A good rule of thumb is if the position has changed more than 50% in terms of the level responsibilities.  The appropriate non-bargaining unit manager is responsible for assignment of duties.  After review and consultation with the employee, the manager forwards the request to Human Resources.

For complete information on the Classification Review process, please refer to http://www-admn.csun.edu/ohrs/compemp/index.htm

Position Descriptions

Employees wishing to review their position description (PD) should first request the description from their manager. Managers should have a copy of the PD on file; if necessary, they may send a request via email to lynn.marks@csun.edu.  Human Resources will respond within five (5) business days.

For complete information on Position Descriptions, please refer to

http://www-admn.csun.edu/ohrs/compemp/class_pd_ins_outs.htm

EMPLOYMENT

Appointment of Active Student Worker to Non-Student Classification

At times, departments submit a request to appoint a student in an active student job record into a non-student classification (staff or faculty).  Please note that a student cannot be active in a student classification and a non-student classification at the same time.  In these cases, the student job record will need to be inactivated before an appointment to a non-student classification can be processed.

Performance Management

Each employee deserves regular, formal feedback on their performance as a vehicle for being recognized for accomplishments and as a means of facilitating growth and development.

New employees should receive more frequent feedback according to systems developed for each group of employees. Ongoing employees should receive feedback at least every twelve months. Departments have the opportunity to develop performance appraisal schedules that best meet the needs of the department.

PAYROLL

Absence Management

Some of our colleagues continue to have questions about the operation of the new absence management system. As an early adopter of the CSU System module, we have been making improvements on a regular basis.

We will be conducting extensive training on this system within the next several weeks. These training sessions will be advertised widely. Please plan on taking advantage of this opportunity to learn the system in detail.
